OUTLINE OF ROLE
The Moves administrator will be required to manage the Moves, Adds & Changes database,the monthly space allocation database and administering all MAC purchase orders and invoicing.
ROLES AND RESPONSIBILITIES
* To ensure the successful administration of the database and reconciliation to CAD drawing and Building*Center, working closely with the CAD Planners.
* Responsible for the monthly space and premises cost allocations. In addition, reviewing and adjusting the space cost allocations (ie: manual intervention by the business) and maintenance of the space management system.
* Assist the global space management team to rollout the new process within their region communicating locally to the business units and populating the database.
*Regular contact with business units to validate and confirm changes to desk occupancy, understanding the impact to the premises.
* Answer*respond to client queries regarding moves system related issues and generate adhoc reports.
* To maintain the team job order database (excel) ensuring that all job orders are unique and have appropriate cost centres and budgets.
* Responsible for raising purchase orders and invoice processing. Liaise with MAC managers on goods receipts and payments.
EXPERIENCE AND QUALIFICATIONS
* Strong database & spreadsheets skills are preferred - intermediate knowledge of Excel and good knowledge of MS Access essential so as to understand how the database is structured and be able to generate ad-hoc queries for reports * Basic knowledge of AutoCAD would be useful * Must have excellent administration and communication skills * Excellent client*customer telephone skills * Must be pro-active, energetic and able to work to deadlines without direct supervision
